The fastest way to fix client approvals is to stop making clients log into anything. Send them a link, show each post exactly as it will look live, and give them two options: approve, or comment on the post itself.

That is the whole game. Seven of the eight tools below all schedule posts fine.

Where they differ wildly is how much work they ask of your client. We ranked them on that, because in an agency the client is the slowest part of every workflow.

TLDR: Mydrop is the best client approval software for agencies whose clients won't log into anything: a no-login client portal, comments pinned to each post, and publishing that fires once the client taps approve. Gain fits compliance-heavy accounts, Planable fits teams that live in feed previews.

Mydrop data, September 2026: on the 41 posts that went through a client approval on Mydrop with both timestamps recorded, the median time from submission to approval was 6 hours, and 66% were approved within 24 hours. Small sample, quoted as is. Method in the Mydrop social media benchmarks.

What client approval software has to do

Three jobs, and a tool either does them or it doesn't:

  1. Shows the post exactly as it will look live, per platform: cropped image, caption, first comment.
  2. Keeps feedback attached to the post, not in an email thread two tools away.
  3. Blocks publishing until it is approved, so a pending post physically cannot go out.

Seven of the eight tools below are schedulers with approvals built in, which is what most teams want: approved means scheduled, with no copy-pasting into a second tool. Filestage is the exception, a pure review layer you bolt onto a scheduler you already have.

What clients actually need to give you feedback

Almost every late post traces back to one of three failures, and all three are about the client's side of the screen:

  • The login wall. A client who has to reset a password to view a Reel will not view the Reel. They'll text you "looks good" instead, which is not a sign-off.
  • Scattered feedback. The caption change lives in WhatsApp, the logo note in email, the "actually, wait" in Slack. Someone eventually publishes the wrong version.
  • Invisible status. If nobody can see what's approved, pending, or rejected at a glance, your account managers become full-time chasers.

So when you compare client feedback tools, check four things in this order: can the client review without an account, on a phone, seeing a real preview, with their comment landing on the post. Everything else is a preference. A tool that fails any one of those four pushes the work back onto you.

AI in a content approval platform: what matters, what doesn't

AI shows up in this category in two very different places, and only one of them is worth paying for.

Worth it, because it happens before the review round:

  • Drafting and bulk creation. Most approval delays start with an empty calendar. AI captions and post ideas plus bulk creation get a full month in front of the client in one sitting, and clients approve batches far faster than single posts.
  • A reusable brand voice prompt. Feeding the same brand rules into every draft cuts the round of feedback that is really just tone correction.
  • Automations and routing. Reminders, status changes, and handoffs that fire on their own remove the chasing, which is the part of approvals that actually costs you hours. Mydrop handles this through automations.

Not worth it, whatever the pricing page says:

  • AI that "approves" content. No client accepts a machine sign-off, and no contract protects you if it's wrong. Approval is a human act with a name attached.
  • AI risk or compliance scoring sold as a replacement for legal review. Useful as a first filter in regulated accounts, never as the gate.

The honest test for an AI approval feature: does it reduce the number of review rounds, or does it just add a button? If the answer is the button, ignore it.

The 8 best social media client approval tools, ranked

1. Mydrop: best for clients who never log in

Mydrop is built around the exact problem above. You draft posts in a shared calendar, send the client a portal link, and they review and approve without creating an account.

  • No-login client portal. The client opens a link, sees each post as a platform-accurate preview, and approves or requests changes. It works fine from a phone between meetings.
  • Comments pinned to the post. "Use the other logo" stays attached to the post it refers to, not buried in a chat thread.
  • Approval statuses in the calendar. Pending, approved, on hold, edits requested. Your Monday status meeting becomes a five-minute scan.
  • One workspace per client. Each client's calendar, posts, and approvals stay fully separated, so nothing leaks between brands.
  • AI drafting and publishing in the same place. Generate the batch, get it approved, publish to 9 platforms: Instagram, TikTok, LinkedIn, Facebook, YouTube, Pinterest, Threads, X, and Google Business Profile.

There's a free way to start with Mydrop and test the portal with one real client this week.

Watch out: if you need enterprise SSO and formal legal sign-off trails, Gain is the heavier, safer pick.

2. Planable: best feed-style preview collaboration

Content sits in a mock feed, clients comment directly on it, and approvals can be optional, required, or multi-level.

Watch out: clients still work inside Planable's interface, and workspace-based pricing climbs as your client roster grows.

3. Gain: best for compliance-heavy approval rounds

Gain automates multi-round approvals: internal review, then legal, then the client, with automatic reminders at every step. The audit trail is strong, which regulated industries genuinely need.

Watch out: the structure that makes it great for compliance makes it heavy for a five-person agency posting lifestyle content.

4. Loomly: best lightweight scheduler with an approval step

A simple submit, review, approve flow inside an easy scheduler, with optimization tips along the way.

Watch out: reviewers need Loomly accounts, so you're back behind the login wall with less responsive clients.

5. Sendible: best for agencies already deep in white-label reporting

Agency-oriented end to end: client dashboards, approval workflows, white-label options. A reasonable pick if approvals and reporting must live in one contract.

Watch out: the review experience is desktop-first, and phone-based clients tend to stall.

6. Sprout Social: best enterprise all-rounder

Solid approval workflows inside one of the most complete platforms on the market: listening, customer care, analytics.

Watch out: per-seat enterprise pricing. Most agencies under 20 people would pay for a lot they never touch.

7. Hootsuite: best when internal approvals matter more than client ones

Hootsuite's permission system handles internal chains well (junior drafts, senior approves). External client review was never the product's center of gravity.

Watch out: clients need seats, and seats cost real money.

8. Filestage: visual review beyond social posts

Not a scheduler. It's a review layer for creative files: video cuts, PDFs, banners. Reviewers open a link, comment on the exact frame, and approve in stages. Pick it when social is one small part of a creative pipeline that already runs through a separate publishing tool.

Honest limits: it publishes nothing, so you keep paying for a scheduler alongside it, and approved work still moves by hand.

Quick comparison

Tool Client login needed? Feedback pinned to posts? AI before review Best for
Mydrop No Yes Captions, ideas, bulk creation Agencies with clients who ignore new software
Planable Yes (guest access) Yes Caption assist Teams that review in feed-style previews
Gain Yes Yes Routing and reminders Regulated, multi-round compliance approvals
Loomly Yes Yes Post ideas Small agencies with cooperative clients
Sendible Yes Partially Caption assist White-label reporting plus approvals
Sprout Social Yes Yes Caption assist Enterprise teams with big budgets
Hootsuite Yes Partially Caption assist Internal approval chains
Filestage Yes Yes (on the file) None Video and creative review, no publishing

If you'd rather pick a scheduler first and treat approvals as one feature among many, we compared that category separately in scheduling tools with built-in approval workflows.

The approval workflow that survives real clients

Social media manager checking approval statuses on a monthly content calendar

Whatever tool you pick, run this loop for every client:

  1. Draft a full batch, not single posts. Clients approve faster when they review a week or a month in one sitting. A shared content calendar makes the batch visible.
  2. Internal gate first. An account manager checks brand, tone, and platform fit before the client ever sees a draft. Clients should catch strategy issues, not typos.
  3. One link to the client. No attachments, no PDFs, no screenshots. Live previews answer "how will this look in the feed?" before it gets asked.
  4. All feedback on the post. Ban post feedback in Slack, email, and voice notes. This rule alone ends most "I thought we fixed this" incidents.
  5. Approved means scheduled. The approval should move the post straight into the publishing queue with no manual re-entry. Re-entry is where wrong versions get published.

Two rules keep the loop honest:

  • Set a response SLA in the contract. Something like "posts are considered ready for a final nudge after 48 hours without a response". You can't auto-publish without a yes, but you can stop feeling guilty about the reminder.
  • Pilot with your worst client first. If the new workflow fixes the person who never answers email, the rest of your roster is easy.

Start with your most unreachable client

Pick the one client whose approvals always arrive late. Move only them into a no-login review flow this week, then measure the time from "sent for review" to "approved" against last month.

In our experience that gap is where agencies lose the most billable hours, and it's the cheapest one to close. Mydrop is free to start: set up one workspace, send one portal link, and let the least cooperative person you work with prove the point. If you run multiple clients, the agency setup shows how workspaces, approvals, and reports fit together.

FAQ

Quick answers

For agencies with external clients, Mydrop is the strongest pick because clients review and approve through a no-login portal link with feedback pinned to each post. Gain suits compliance-heavy accounts and Planable suits teams that review in feed-style previews.

Five that earn their keep: AI drafting and bulk creation so the batch exists before review, a reusable brand-voice prompt, platform-accurate previews, automatic reminders and routing, and a status trail showing who approved what and when. Treat any tool that claims AI can approve content for you as a marketing line, not a feature.

Not in every tool. Mydrop's client portal lets clients review, comment, and approve from a link without creating an account, while Loomly, Sprout Social, and Hootsuite require reviewer accounts or seats.

Pick on client effort, not feature count. A small team is better served by a tool where the client needs no login and approved posts publish themselves, because nobody on a five-person team has time to chase sign-offs or re-enter approved content into a second tool.

Most publishing APIs handle posting only, and approvals live in the product layer above them. If you are building on an API, expect to build the review states, the client-facing link, and the audit trail yourself, which is usually more expensive than buying a tool that already has them.

Next step

Stop coordinating around the work

If your team spends more time chasing approvals, assets, and publish details than creating better posts, the problem is probably not your people. It is the workflow around them. Mydrop brings planning, review, scheduling, and performance into one calmer operating system.
